GenAI in education
The basic principle is that you always create and submit your own work. You bear full responsibility for your work. If it is not your own work, or generated by a GenAI tool, then that is fraud.
If you have used GenAI somewhere, be transparent about it. Make sure it is clear how you have used generative AI and how you have ensured its responsible use.
Any form of literal copying and copying without full source acknowledgment (quoting, referencing) of material generated by GenAI is not permitted without the permission of the teacher. After all, academic work requires checking the original sources.
Any use of GenAI during exams on-campus or other evaluations where it is indicated that the use of Generative AI is not permitted is fraud and is not permitted.
Ask your own teacher, department or faculty whether GenAI is or is not allowed in your education and research and how you can use GenAI.
For more information, see this page of the Community for Learning & Innovation: Generative AI in education.

The general EUR page prohibits personal/confidential inputs and permits public/published data subject to Acceptable Use. Its blanket descriptions of model retention/training are source statements, not independently verified claims about every current vendor. Read the separate Copilot-specific section rather than silently overriding data restrictions.

GenAI does not care about Privacy
Do not mention personal information about yourself, others or the EUR in a question to GenAI. You should not share personal or confidential information with GenAI tools. There is currently no EUR-wide contract that specifically protects such data for reuse by the GenAI model.
In general, personal data covered by the GDPR, such as health information, as well as business information and any other information classified as confidential or controlled university data, may not be used with GenAI tools.
Everything you enter into a GenAI tool is used to improve its own model, which then becomes public data for everyone who uses the tool. This could lead to a data breach. If you suspect that you have shared confidential information, report this as a possible data breach to the IT Service Desk. A timely report ensures that the risk can be limited.
Data that is publicly available or defined as published university information ('Public' according to EUR Data Classification Policy) can be freely used in GenAI tools. In all cases, use must be in accordance with the Acceptable Use Policy.
Learn to use GenAI
If you ask a question in a GenAI tool, include background information or examples yourself so that the tool can respond accordingly. We recommend that you learn how to 'prompt' by following a training course and using good examples. Searching the internet will yield many paid and unpaid training courses. Training courses on the use of GenAI are also regularly given at EUR.
Always check the reliability of the information you receive via GenAI. Make sure you verify everything with other sources to check reliability.
Consider ethical aspects, including respect for intellectual property and privacy. Also check the generated text for inappropriate content.
Use GenAI lawfully
Please note that the company that owns a GenAI system, for example ChatGPT or OpenAI, explicitly prohibits the use of the tool and their other products for certain categories of activities, including fraud and illegal activities. This list can be found in their usage policy. AI tools of any kind may not be used for activities that are illegal, fraudulent or in violation of any law or EUR policy.
Are you unsure about the appropriate use of GenAI? As a student, please contact your training coordinator or as an employee, contact your Information Manager.Bekijk officiële bron ↗Verzameld: 2026-10-09 · 94–105

Commercial Data Protection in Copilot
When using the web version of Microsoft Copilot, Commercial Data Protection is enabled.
Commercial Data Protection ensures that a lot of data is not kept permanently by Microsoft and that user and organisational data is protected. Below you can find what data is and is not collected and how long it is kept.
What is collected:
Prompts and outputs: The questions you ask Copilot and the answers you receive. This data is kept for a short period of time (during the session).
User data: This is your username, email address and the names of documents you upload. This data is kept permanently.
Metadata: Information such as timestamps and technical details about how you use Copilot. This data is kept temporarily for analysis and improvement of the service.
What is not collected:
Contents of private files: The specific content of your private files is not stored by Microsoft or used for other purposes.Bekijk officiële bron ↗Verzameld: 2026-10-09 · 124–132

The CBE page states a six-week filing period but does not define its start event in this clause. Late appeals need a reason and are usually inadmissible. Urgent interim relief is separate, temporary, and lapses after the final main decision; the opposing party is asked for a reasoned response within five days.

Future, former and current students as well as external students may appeal to the Examination Appeals Board (abbreviated to CBE) against numerous decisions regarding education, tests and examinations that concern them.
These include, among others, decisions:
on admission to a (pre)master programme;
of examination committees and examiners;
on the Colloquium Doctum; and
on the negative binding study advice.
The complete list can be found in article 7.61 of the Higher Education and Research Act.
If you wish to appeal a decision, you must do so within six weeks. A notice of appeal that is received by the CBE outside of this period must be accompanied by the reason for the late submission. Please note: in most cases, a late appeal will be declared inadmissible. This means that the CBE will not consider your appeal.
Interim relief
A decision may have such irreversible consequences that it is not possible to wait for the ruling of the Board of Appeals for Examinations (Dutch: CBE) on the appeal lodged against that decision. In such an urgent situations, it is possible to request for an interim relief: a temporary measure that is quickly implemented to prevent irreparable harm.
The request for an interim relief is sent by the CBE to the opposing party (the defendant), requesting that a reasoned response be sent to the CBE within five days.
An interim relief does not constitute a ruling on the main issue and is only temporary in nature. The Chair of the CBE decides on this request, usually after hearing both parties.
Once the CBE has issued a final decision on the main proceedings at a later time, the interim relief automatically lapses.Bekijk officiële bron ↗Verzameld: 2026-10-09 · 69–81

A CBE decision may be appealed to the Council of State division within six weeks of receiving it. The earlier internal process asks the decision-making body to attempt settlement or submit a defence within three weeks. These are separate stages and actors; a signed representative can act for the student.

What if I do not agree with the decision of the CBE?
If you do not agree with the decision made by the CBE, you can lodge an appeal with the Afdeling bestuursrechtspraak within six weeks of receipt of the decision, see also the website of the Council of State (in Dutch)
Can I authorize someone to appeal on my behalf?
You can authorize someone in writing to carry out the case for you. This authorization must be dated and signed by yourself and the person you authorize. All correspondence will then go through the authorized representative.
How does a procedure work at the CBE?
After you have submitted your letter of appeal, the CBE will forward it to the body that made the decision. The CBE will request that body to attempt to reach an amicable settlement or to submit a statement of defense within three weeks. If a settlement has not been reached and a statement of defense has been submitted, that statement of defense will be submitted to you. On the basis of the statement of defense, you can then determine whether you wish to continue or withdraw your appeal.
If you choose to pursue your appeal, a hearing will be scheduled. During this hearing, the CBE (consisting of three members), the defendant (the body that made the decision) and you will be present. You will be given the opportunity to explain your letter of appeal in more detail.
After this hearing, the CBE will deliberate, after which a judgment will be made. You will receive the judgment in writing at a later date.Bekijk officiële bron ↗Verzameld: 2026-10-09 · 128–135

Policy on the use of GenAI and the PhD-trajectory:
Guideline on legitimate and responsible use of GenAI in PhD research at the EUR
AZ/AI@EUR, 05-04-2024
Introduction
The use of artificial intelligence and machine learning (AI/ML) in general and the application of Generative
AI (GenAI) has increased tremendously since the launch of ChatGPT in November 2022. The availability of
data, algorithms and computer power have contributed to an increase in the application of AI/ML as well
as research on the impact of AI/ML. Within seconds these programs can produce texts and images that
are hard to distinguish from text created by people.1 As AI/ML or GenAI are becoming an integrated part
of working life the academic world is presented with many new opportunities as well as risks. Every user
faces challenges for using GenAI legitimately and responsibly, through this document extra attention is
given to PhD candidates and their supervisor as the PhD trajectory focuses on developing the
competences needed as an independent researcher. The responsibility for quality and integrity is
hierarchically shared between the candidate and supervisor and the department they are embedded in.
National and European codes and policies on, for example, the code of academic integrity and the
EU AI Act, are leading and respected in this policy. The EU AI Act for example requires research to be
transparent by ‘owning up’ and discussion the limitations, this policy follows those lines.2 If national codes
or tools are developed for the use of AI, they overrule this policy. The existing codes on scientific integrity
provides much guidance on, for example, integrity that are relevant for use of GenAI, however, due to the
unique capabilities GenAI offers, these codes do not cover all aspects of responsible use.3 This policy
attempts to fill these gaps. Furthermore, there are policy developments to watch as they can provide
insights that will help to sharpen these guidelines. The ‘Russell Group Principles on the use of Generative
AI Tools in Education’ and the NWO’s Preliminary Position on Generative AI in the Application and Review
Process were, for example, used as input for the policy. This document will be updated in the light of these
principles.4
The graduate schools, therefore, raised the question on how to deal with GenAI, seeking a policy
for PhD trajectories, which is expected to be followed up by faculty specific and/or discipline specific
policies and guidelines. The target group of this policy are not the PhD candidates, but the support staff
involved in the policy process. The policy should, therefore, be read as a living document that aims to be
integrated into an EUR-wide policy. The opportunities and risks that AI currently pose will like change andBekijk officiële bron ↗Verzameld: 2026-10-09 · 1–38
