The Office of Information Technology (OIT) provides access to generative AI tools with protections for use in university work. The tools licensed by Rutgers include security and privacy safeguards for appropriate use at the university. By using the Rutgers-approved versions of these tools, your data will not be used to train the models underlying the tools. To protect university data and ensure appropriate use, only Rutgers-approved AI tools should be used at the university. You can view a list of available tools provided by OIT. Ensure academic integrity when using AI At Rutgers, guidance on the appropriate use of AI tools in academic settings will typically vary depending on the discipline, course, and/or instructor. Faculty should consider providing guidance to students on the use of AI to support learning and coursework, and students are encouraged to review course materials and speak with their instructors to understand any specific expectations related to AI. Though AI tools are widely available to students, they should not be considered permissible for coursework unless clearly stated or communicated by instructors. Students are responsible for understanding and abiding by their program and instructors’ guidance or rules on the use of AI. As noted in Rutgers Academic Integrity Policy 10.2.13, the principles of academic integrity require that students ensure that coursework be “the student’s own and created without the aid of impermissible technologies, materials, or collaborations.” Protect confidential data Confidential information, Protected Health Information (PHI), and other proprietary Rutgers information may not be appropriate for use in AI applications and systems. Faculty periods not student appeal deadlines.

If you believe that an undergraduate student has committed a violation of our academic integrity (AI) policy, you must submit an online Academic Integrity Reporting Form  and provide any supporting documentation to the form. For a Level 1 or 2 violation of academic integrity (AI), you may proceed with either of the 2 options described below. All suspected Level 3 violations, or if the student is a graduate student, you must proceed with option 2. Regardless of which option you choose or the level of the violation, the student should not be penalized until the matter is adjudicated. The student must be permitted to continue to attend class and complete all assignments and exams. If you must submit a final course grade before the case is resolved, then the student should be given an “Incomplete” or “TZ” grade, which will not affect his or her GPA. Accordion Content Option 1: I would like to address the incident Fill out an Online Academic Integrity Initial Reporting Form and attach any supporting documentation: Notify the student in writing of the alleged violation within fifteen (15) working days of identifying or being notified of the violation. This letter must inform the student that they must respond within five (5) working days from the date of the letter. If the student does not respond or declines to meet with you, continue with the investigation without their input. Meet with the student, review all evidence, interview any witnesses and make a decision regarding the allegation. Once a decision is made, please complete the Final Reporting Form. If you determine that the student has not violated the policy, notify them in writing within fifteen (15) working days of the meeting. If you determine that the student is responsible for a non-separable violation of the policy, notify them in writing of your finding within fifteen (15) working days of the meeting. Include in the letter a recommended educational sanction and appeal information.

Appeals Process 1. An accused student has the right to appeal any finding and/or sanction. The student must submit an appeal form and any supporting documentation to the Campus Appeals Committee (CAC) within ten (10) working days of the decision. The appeal form can be found here. The complainant, the investigator, and the Presiding Officer (if any) have the right to respond to the student’s appeal. 2. A student may appeal based on: Unsupported conclusion: The decision made by the conduct officer, faculty member, AIF, or University Hearing Board is not supported by the facts of the case. Procedural error: The adjudication process did not conform with prescribed procedure. The error must have substantially impacted the outcome. Disproportionate sanction: The sanction imposed on the student is grossly disproportionate to the severity of the violation. New information: There is new information previously unavailable or unknown at the time of the initial decision. The new information must be sufficient to alter the outcome. 3. Appeals are considered only on the basis of the written record. The CAC does not meet with any of the parties. 4. The CAC meets to consider the student’s appeal, the case file, and any statements submitted by the other parties. 5. The CAC may: Uphold the original finding and sanction. Overturn the original finding and sanction, in full or in part. Uphold the finding and modify the sanction. Remand the case to be re-heard (only in the case of substantial procedural error or significant new information). 6. The student is notified in writing of the committee’s decision. 7. If the original sanction does not include suspension, expulsion, or an XF grade, the Committee’s decision is final. 8. If the sanction affirmed by the CAC includes suspension, expulsion, or an XF grade, the final sanction is determined by the Chief Academic Integrity Officer (CAIO) for academic integrity. 9. The student is notified in writing of the CAIO’s decision (if applicable). 10. The appeal process is concluded, and the student’s final sanction is implemented. Sanctions are not implemented until all appeal options are exhausted. If a final course grade must be issued before the appeal process is complete, the student should receive a “TZ” grade.

If the student accepts your finding and agrees to the recommended sanction, then your finding and sanction become final. If the student does not accept your finding and/or the recommended sanction, they may appeal to the Campus Appeals Committee. If the student fails to appeal within the allotted time, then your finding and sanction become final. Option 2: I would like an Academic Integrity Facilitator to address this incident If you choose to refer the violation to an AIF, you must fill out the online Academic Integrity Initial Reporting Form and include any supporting documentation. Notify the student in writing (see sample letters) of the alleged violation within fifteen (15) working days of identifying or being notified of the violation. Inform him or her that the case will be adjudicated by the AIF.

Rutgers is now offering ChatGPT Edu as a $20/month subscription through the Rutgers Software Portal. This version of the AI assistant from OpenAI includes higher message limits than the free version and allows users to build and share custom GPTs (the large language models developed by OpenAI). Using ChatGPT Edu also prevents Rutgers data and conversations from being used to train the company’s AI models. If you are evaluating the purchase of ChatGPT for your unit, please review the details in this article and consider existing options for AI assistants provided by Rutgers. What are the benefits of ChatGPT Edu? Purchasing a subscription through the Rutgers Software Portal provides a number of benefits: Rutgers data is not used to train OpenAI models. You can create and share GPTs (the large language models developed by OpenAI). Priority support is available for ChatGPT Edu users. Coordinated management, data retention, and user authentication are provided for the software. Visit the Rutgers Software Portal for additional details. Are other conversational assistants available to the Rutgers community? Google Gemini and Microsoft Copilot are currently available at Rutgers as part of our existing agreements with those firms. By logging in with your Rutgers accounts, chats with these tools are not used to train their AI models. These tools provide suitable options for many uses at Rutgers. What is the status of the pilot effort to evaluate AI tools? A pilot effort is underway, as part of the AI@Rutgers Initiative, to evaluate various AI tools for their potential for broader university use. This pilot may lead to additional AI tools becoming available at Rutgers, and licensing for ChatGPT may also evolve as a result.

Back to top Due Process at RU-N At Rutgers, standards of due process dictate that: A student accused of violating the Academic Integrity Policy is entitled to a Academic Integrity Review Meeting. Back to top Role of the Campus Advisor If you are a student going through an academic integrity process and wish to have a Campus Advisor, you can contact the Office of Community Standards & Student Development at communitystandards@newark.rutgers.edu to request a Campus Advisor. The role of the Campus Advisor is to: Help the advisee understand the Academic Integrity process. Provide objective advice. Support and guide the advisee. Guide the advisee in formulating and supporting their case (without doing the work for the advisee). Help the advisee prepare for a disciplinary proceeding, meeting, or an appeal. Accompany the advisee to meetings and other disciplinary proceedings. The main role of the Campus Advisor is to support students through the disciplinary process. The Campus Advisor may not represent any students, therefore may not speak during any investigative meetings and/or other disciplinary proceedings.

Obtain a Campus Advisor. Provide the Academic Integrity Facilitator (AIF) with the name(s) of your Campus Advisor and support person, if any. If you are the accused student, and would like someone (such as a family member or attorney) to have access to information about the case, submit a release form (available here) to the Office of Community Standards and Student Development. Develop a list of evidence that helps to prove your version of events. Provide the list and copies of your evidence to the assigned AIF by the submission deadline. Prepare your witnesses and submit your witness list to the AIF by the submission deadline. If you plan to make a statement in your defense, prepare a narrative. This is a full, detailed description of the incident in question and your version of events. You will introduce your evidence and witnesses when you present your narrative. Anticipate what the opposing party might say and prepare questions for them that will bring out information supporting your case. If your case will be heard at a University Hearing, prepare a closing statement (optional). This is a brief summary of the information you have presented and the conclusions you want the board to draw. In the event that the accused student is found responsible, the Hearing Board or decision-maker will determine a sanction. Prepare a statement recommending an appropriate sanction. If you are the accused student, you may wish to obtain written statements from character witnesses.* These statements may be introduced during the sanctioning portion of the meeting. If you are the complainant, you may introduce a victim impact statement. * A character witness provides information about the accused student's background and character.
