ChatGPT and other AI tools The use of AI large language models such as ChatGPT offers all kinds of new possibilities for text creation. You should realise that if you do use these types of language models and present the work as your own, it will be considered fraud. This means that you may only use ChatGPT or other AI tools during your studies when you have lecturer’s approval and when you mention that you have used it. The Education and Examination Regulations (EER) for your study programme or the corresponding rules and guidelines explain the formal course of action if fraud/plagiarism is suspected and lists the sanctions that may be imposed. The strongest sanction involves expelling a student from the study programme.

Why these rules? GenAI can be useful, but the technology also has limitations. It generates predictions, not guaranteed facts, and answers can be incorrect or biased. Confidential information can be inadvertently made public and copyrights can be infringed. That is why it is important to use GenAI consciously, critically and responsibly. A campus-wide policy and specific guidelines for education and research are currently being developed. To provide staff and students with guidance in the meantime, nine rules have been drawn up for the responsible use of GenAI. The nine rules in brief You can find a full explanation of each rule on the website. These are the most important principles: Ensure that you are and remain GenAI literate. Understand the opportunities and risks and keep your knowledge up to date. Only use GenAI when it is really necessary. Not every question belongs in a GenAI tool. Only use authorised applications. Currently, this is Microsoft 365 Copilot Chat for texts. Do not enter any personal data. This is not permitted by law within GenAI tools. Do not enter confidential or business-critical information. This data may end up elsewhere. Always double-check GenAI results. Never consider GenAI output as the final product. Do not let GenAI make decisions. Human judgement remains paramount. Be transparent about your use of GenAI. Indicate when GenAI has been used. Preferably, do not use GenAI for image and audio material. The copyright on this content is complex and risky.

Fraud If a student commits fraud, the Examination Board may impose sanctions. It must be explained to students what constitutes fraud, what sanctions apply in this respect and how a student may defend themselves. What is meant by ‘fraud’ and ‘plagiarism’? Your faculty’s dean has established Fraud Regulations in conjunction with the Examination Board. These regulations stipulate what is meant by fraud and plagiarism. The Fraud Regulations are often included as appendices to the study programmes’ Education and Examination Regulations . What happens if I am under suspicion of fraud and/or plagiarism? If suspected fraud has been reported, the Examination Board will launch an investigation. During this investigation, you will have the opportunity to present your case. You can find more information about this in your study programme’s Fraud Regulations. What sanctions can the Examining Board impose in cases of fraud? The sanctions that may be imposed are laid down in your faculty’s Fraud Regulations. An Examination Board may, amongst other things, impose the following sanctions: it may prevent a student from participating in one or more course examinations; it may decline to assess a paper or Bachelor’s or Master’s thesis for a period of time; it may bar attendance of lectures given by the Radboud Honours Academy; in instances of serious fraud, the Executive Board is recommended to terminate registration. What can I do if I disagree with an imposed sanction by the Examining Board? A student may appeal against any sanction that has been imposed in connection with fraud to the Examination Appeals Board (EAB). This Student Charter shall come into effect on 1 September 2026 Article 7 Publication The Executive Board shall ensure that these regulations and any amendments thereto are published in an appropriate manner. Any student can collect a printed copy of these regulations from the Student Information Desk. If the language of instruction of the study programme is English, a translation of the regulations shall also be published and made available for inspection. If you disagree with a decision that was made by the Examining Board or an examiner, you may appeal against the decision by lodging an appeal with the Examination Appeals Board. Examples of such decisions are those that are made about Binding Study Advice, the assessment of an examination or an application that has been rejected by the Examining Board. You can also lodge an appeal if the Examining Board or examiner does not reach a (timely) decision. Conditions The appeal must be received within six weeks of the date of the decision. If your appeal is not received on time, it may be declared inadmissible. In such cases, the appeal will not be dealt with substantively. If you need more time, you may lodge a pro forma appeal within the six-week period; when doing so, you will need to specify the decision to which your appeal pertains. Once the Examination Appeals Board has received the pro forma appeal, it will set a time limit within which you will ultimately be required to explain the content of your appeal. How do I lodge an appeal? 1. Appeals may be lodged digitally via the Central Office Legal Protection Students. In their form, you fill in all the required information, after which you will receive an automatic confirmation by e-mail. You will then receive a message with information on the further handling of your appeal within a few days. 2. If you wish to lodge your appeal by post, please ensure that it contains the following information: The name and address of the person who is lodging the appeal; The name of the study programme, student number, telephone number and email address of the person who is lodging the appeal (any emails from the Examination Appeals Board will be sent to an @ru.nl email address); The date and signature of the person who is lodging the appeal; A list of the reasons for why you are appealing against the decision; A description of the decision against which you are appealing; A copy of the decision against which you are appealing.

Many staff members and students at Radboud University use generative AI, where permitted, for their work or studies. This ranges from correcting language errors to writing programming code. Radboud University considers it important that you handle data and other information safely. As some security risks are associated with generative AI, a few regulations apply to staff and students when using it. Want to use generative AI? Then use Copilot Chat. At Radboud University, the AI assistant Copilot Chat is available: an AI assistant that prioritises data security. We therefore request that staff and students who wish to use AI choose Copilot Chat. The use of free tools like ChatGPT and Google Gemini is not recommended, as it poses various privacy and security risks. The data you enter is used to further train the tool. Sensitive or personal information, such as company data or private conversations, thus becomes accessible for the service provider (such as OpenAI or Google). In addition, we advise that you do not input sensitive or critical business information or personal data when using AI. In any case, do not share personal data without consent. Both staff and students are expected to follow the current agreements within their faculty or study programme on the use of generative AI at all times. Copilot Chat (formerly Bing Chat) The Microsoft Copilot Chat feature can be accessed by anyone via https://copilot.cloud.microsoft and is embedded in the Edge browser by default. Copilot Chat is based on the language model of OpenAI (developer of ChatGPT) and is therefore a good alternative to the paid version of ChatGPT in many cases. If you log in with your Radboud account, the use of Copilot Chat falls under our Microsoft licence and is therefore covered by the business data protection offered by Microsoft. This is shown by the green shield and means, among other things, that your data will not be used to train Microsoft's AI model. Despite this protection, there are also objections to using Copilot Chat that are typical of generative AI, such as response bias and high energy consumption. SURF's advice on Microsoft 365 Copilot Do not confuse Copilot Chat with Microsoft 365 Copilot; Microsoft 365 Copilot is a generative AI application that searches the data of all Office applications for the answer to your question. This is not what Copilot Chat does. SURF recently advised all education and research institutions not to use Microsoft 365 Copilot for the time being, mainly because of privacy risks. This advice is based on the Data Protection Impact Assessment (DPIA) that was conducted. Microsoft 365 Copilot cannot be used for free and Radboud University does not (yet) offer it, in line with SURF's advice. Conditions of use for generative AI at the university As generative AI is developing at high speed, Radboud University would like to take a cautious approach. Not by banning the use of AI, but by analysing its risks to privacy and information security. This is also legally expected of the university in accordance with the EU AI Act. The aim of this analysis is for staff and students to be able to continue using AI, with as few restrictions as possible, but within the legal frameworks. A campus-wide policy on the use of AI tools is currently being drafted. Contact information Still want to use another generative AI tool? A student counsellor advises and assists students with questions that they have about such matters as study delays, legislation and regulations, and financial support.
